We are looking for a highly motivated, resourceful, and talented individual to join our team as Administrative Assistant (A19-085).  This is a full time position in our Alpena Administrative Annex location. Base wage $12.35/ hour depending on qualifications, experience, etc.

General Summary:

The Administrative Assistant assists with the administration of the day-to-day operations of the Finance and Human Resources Department functions and duties as directed.

Overview of Principle Duties and Responsibilities:

  1. Provide administrative support for the Department of Human Resources including, general office support (filing, phones, data entry), reporting and submission, establishing and maintain personnel files and processing paperwork (benefits, FMLA, etc.), assisting with events and surveys, conduct programs (new employee orientation, service awards, etc.), processes mail and packages, and other Human Resources duties as assigned.
  2. Provide Administrative Support for the Finance, assist with preparation and distribution of bi-weekly payroll, conduct quarterly vendor debarment lookups, edit and update various Excel spreadsheets, carry out regular clerical functions which involve faxing, filing, and copying, greet and assist visitors, receive, sort and forward interdepartmental and external mail.
  3. Prepare correspondence or other documentation both physically and electronically.
  4. Exercise discretion and strict confidentiality with all information including but not limited to sensitive personal information, wage data, and medical information.
  5. Adheres to AHC Attendance policy, accurately records attendances and manages PTO/sick time. Responsible for regular, predictable attendance and to work hours as scheduled.
  6. Accepts and performs other job related duties, projects and responsibilities, as required.

Professional Knowledge:

  1. Possesses a basic level of written and verbal communications skills, computational and computer skills and mathematical knowledge typically acquired through completion of a high school program.
  2. Job duties are basically learned in training or on the job.

Required Certification and/or Licensures:

Possesses a current State of Michigan driver’s license and valid automobile insurance.

Technical Skills & Abilities

  1. Prepares basic correspondence and simple reports in Microsoft Word.
  2. Uses Microsoft Excel to create tables and simple displays of information.

Communications Skills

  1. Effectively communicates routine or non-technical information to co-workers and others.
  2. Exercises tact and diplomacy in the resolution of mild conflicts or disagreements.
  3. Requires the effective communication of written information (including electronic correspondence).
